Minutes of the Board of Management Meeting
HERCC
Members met for a Spring Board Meeting at the home of President Tom Hynes. Also present were Treasurer Jon Morrow, Secretary Sandy Podesta, Board Members Jim O'Brien, Rita Amaio and Brian Burke. Members Michael Eisele, Mark Kasevich and Kim Ruggiero were absent.
BEACH CLEAN-UP: HERCC's annual beach clean-up will be held on Saturday May 4, with Sunday May 5 as a raindate. This important and enjoyable communal effort will begin at 10:00 am and refreshments will be served. In addition to clearing the beach of debris, seaweed, flotsam and jetsam, this year we will be repairing the wood beams that have broken down between the grass and the sand. Therefore, builders are avidly sought, as are volunteers for general clean-up. All members are encouraged to come and help beautify our breathtaking beach area. See enclosed flyer for details.
JETTY REPAIR AND MAINTENANCE: The Jetty Committee reports that on the eastern beach jetty, the bolts are rusted and in danger of deteriorating completely. Should they fail, the wood comprising the jetty (which is in relatively good shape) would be released and the jetty would fall apart. The Committee feels that re-bolting the jetty is a job that could be accomplished by a team of volunteers. Brian Burke offered to organize such a team and schedule the effort at a very low tide when access to the jetty is greatest. Although this jetty repair is a temporary measure, the Committee hopes that it will "buy" us another 10 years at a minimal cost.
HERCC WEBSITE: Jon Morrow reported that he may be able to maintain the HERCC website at a reasonable cost by undertaking this effort using the technology he has available at home. (The website, which had been hosted at no charge, was inexplicably bumped by the host.) He recommended that we claim an "url" such as "hercc.org" before someone else uses it. The Board authorized Jon to spend up to $100 to reserve a name and remount the website. Anyone wishing to have his or her e-mail address listed on the site should contact Sandy Podesta at sp@eBusinessWriting.com; she'll forward this information to Jon.
TRASH PICK-UP: Jon Morrow reported that the beach trash pick-up is quite expensive and suggested that the Association members join together for collective bargaining. Should enough members participate it may be possible to negotiate a lower rate for all and for the beach pick-up. The Board discussed pros and cons but did not reach a consensus on this issue. Members wishing additional information or who have opinions or suggestions are encouraged to contact any Board Member with their thoughts.
SPEED BUMPS: Board Member Mark Kasevich has been working on securing competitive bids to repair and replace damaged speed bumps. In Mark's absence, his effort was described by Tom Hynes. The Board authorized Mark to accept the most competitive price quote and proceed with the work as quickly as possible.
ANNUAL MEETING AND FESTIVITIES: Saturday, July 20 was selected as the date for our Annual Meeting at the beach, the parade and picnic. (Raindate: Sunday, July 21.) Sandy Podesta will check to ensure that this date is suitable for the Parade Grand Marshall, its lead car and driver, and our game Chairperson. A flyer containing all details will be distributed as the date approaches.
FENCE SIGNS: On behalf of the Association, the Board thanked Rita Amaio for her diligent work securing estimates and replacements for the signs on the fences and at the beach.
MEMBER PROPOSAL: Jon Morrow presented a proposal to the Board Members present. He would like to secure an option to buy the Association's easement on his property in order to make improvements to his home. He proposes granting HERCC in perpetuity the full use of the easement that it enjoys now. Due to the nature of this request, the Board decided to postpone further discussion until the full Board could be assembled.
There being no further business, the meeting was adjourned and resumed on Monday April 22. The continuation of the meeting took place at the home of Tom Hynes; all Board Members were present.
TREASURER'S REPORT: Treasurer Jon Morrow reported that the Association is in good fiscal shape; a copy of the balance sheet is attached. All members have paid their dues in full at this time. Invoices for this year's membership dues will most likely be mailed to all members in May.
MEMBER PROPOSAL Follow up: Jon Morrow presented his proposal once again, this time to the full Board. Jon then left the meeting so that the Board Members could explore the issues related to his proposal. The Board agreed that Jon should detail his proposal in writing and distribute it to all members of the Association for their review and consideration prior to the Annual HERCC Meeting at the beach, currently scheduled for July 20.
