Minutes of the Board of Management Meeting
August 30, 2007

The HERCC Board of Management met at the home of Bob and Ellen Cika. Present were:, President Bob Cika, Secretary Sandra Podesta and Members Ken Finkle, Jon Flatow, Jim O'Brien, Stephanie Sgambati and Amy Stefanowski. Treasurer Rita Amaio and Member Bill Bussmann were unfortunately absent.

 

President Bob Cika called the meeting to order at 7:30pm and welcomed Stephanie and Jon to their first meeting. The Board discussed the following topics:

Acceptance of Minutes
A motion was made and seconded to accept the minutes from the previous meeting of June 5, 2007. All present voted in favor.

 

Secretary's Report
Secretary Sandy Podesta distributed to Board Members an updated Directory (names and addresses only.) As the next complete Directory will not be printed, bound and distributed until the summer 2008 Annual Meeting, any Association Member who would like to receive this interim update electronically should contact Sandy with his or her e-mail address. Treasurer's Report
Treasurer Rita Amaio sent in her report, which was read aloud, including the following information and eliciting the accompanying discussions:
The Insurance Rider for the swim float is in effect and fully paid.
Rita solicited price estimates on Board of Management personal liability coverage and is in the process of completing the application, which requires financial reports for the past three years and some history about the Association. The insurance agency will quote on several different levels of coverage with associated premium costs. One Board member reported receiving a call from an Association Member who relayed a story of being falsely accused as a member of a similar Board and sued by someone who regularly initiates such suits as a way of generating income; the caller stressed the importance of having this vital coverage to protect the Association as a whole. Another Board Member recommended acquiring the most comprehensive coverage available.
Three households have still not paid their annual dues despite several attempts to collect this modest amount. Rita will continue to pursue payment and keep the Board apprised of this situation.

Other Business/Committee Reports
Sandy reported that the Mary Blank Memorial Sundial is being produced and should be ready shortly. She will investigate recommended positioning for the sundial so that it will accurately denote the time of day; anyone who has familiarity with this issue is asked to contact a Board Member.

The HERCC Annual Parade and Picnic were tremendous successes thanks to the efforts of everyone involved. Particular thanks go to Amy Stefanowski and Jennifer Eisele for coordinating so many different activities and to our champion grillers. A few changes for next year have been suggested and will be assessed and implemented by Hospitality Chair Amy Stefanowski.

"No Parking" Signs -- Bob Cika will add two No Parking signs to the vertical posts on the split rail fences at the beach; he will consult with the signstress for recommendations on producing optimally effective signage in the vertical format.

Speed Bumps -- One of our resident artistes extraordinaire, painter Bob Cika, reported that he will repaint the speed bumps after the summer months have passed and the attendant traffic has subsided.

Swim Float -- The swim float and lead rope to it have been in for several weeks and are a resounding success, being used, enjoyed and celebrated by adults and children alike. There are even reports of some swimmers making the trip out and back several times a day! Our resident float expert, Jon Flatow, suggests removing it in mid-September before the water begins to get cold. As this involves going into the water, volunteers are sought. We need those willing to go in and we need muscle to get the float to dry land. Please contact any Board Member if you are willing to help and we will let you know the time and date.

With no further business, the meeting was adjourned at 9:15 p.m.

HERCC BEACH AND FLOAT RULES

The arrival of our WONDERFUL new float is a good time to remind all members, guest and tenants of the Rules and Regulations for using the beach, the lawn, the float and Seawall. Please keep these reminders in a handy and visible place all year:

 

Rules for Using the Beach Area:


No one except HERCC members and their guests may use the beach; children under 12 must be supervised by an adult at all times.
No ball playing or rough play on the beach or in the swimming area.
No sitting or draping of towels, etc., on the sea wall in front of the cottages.
No parking of boats on the beach.
Boats should be stored on the boat racks only.
No boats may be moored or piloted in the swimming area.
No dogs are allowed on the beach.
No parties, playing of radios or other loud music, etc., on the beach or surrounding areas after 11:00 pm.
No fireworks shall be permitted on the beach without prior approval of the Association Board of Management.

 

Rules for Using the Float:


Use common sense.
Use at your own risk.
Use the rope line to pull yourself out and back, if you need to.
No diving off any part of the float.
No jumping off the back of the float (there are chains there that connect to the anchor.)
Children under 12 must be supervised by an adult at all times.
No roughhousing.

 

Rules for Using the Right of Way:

Because the Seawall is private property, not owned by the Association and used  with the permission of the waterfront homeowners, please respect their privacy by being quiet, not peering into their homes, passing by quickly, and observing the restrictions below:.


The "Seawall Walk" is open for Association Members only; children must be accompanied by an adult
No loitering or fishing off the Seawall.
Members may walk along it at their own risk between 9:00 am and 6 pm year-round.
From May 1 through October 30, the gate is open during these hours. After the season, the gate is closed so be sure to close it behind you after passing through it.
